Translating Technical Manuals and SOPs: A Practical Guide for Manufacturers

Buy a machine from Japan, sell an assembly to a German OEM, or hire operators who read a different language than your work instructions, and you inherit a problem that rarely reaches an improvement plan: the documentation your plant runs on is in the wrong language for the people who need it.

Tolerances and units are the sharpest edge. A dimension written as 25.00 mm +0.02/-0.00 is not a phrase; it is an instruction to a machinist and an acceptance rule for an inspector. Flip the sign convention, round during a unit change, or lose a decimal re-typing a table, and you have quietly redefined what "good" means. Mixed unit systems make it worse — bar versus psi, Nm versus ft-lb. Keep the original figure and add the converted value rather than silently replacing one with the other.

Safety wording has to stay imperative. Warning text carries a severity hierarchy — danger, warning, caution, notice — and each level implies a different consequence. A translator who softens "danger" into general advice, or turns a prohibition into a suggestion, has removed the part that makes the sentence work. Conditional logic matters too: "do not restart until the guard is closed" and "restart after closing the guard" are not the same instruction.

Intervals and fault codes must survive intact. Layout carries meaning, so it has to be rebuilt

In most business documents, formatting is decoration. In technical documents, it is content. A drawing's meaning depends on which callout points at which feature and what sits inside the tolerance block. A results table depends on column alignment and unit headers. A numbered SOP depends on its numbering matching the shop-floor checklist and the training record. Translated text expands or contracts, so a callout can overflow its leader line and a table cell can wrap and split a value from its unit.

Specify the deliverable format in advance: an editable file mirroring the original layout, explicit handling of text inside images and CAD callouts, and a named owner for rebuilding layout. That rebuild is real work and legitimately affects a quotation.

Terminology control stops one part having two names

The most common defect in a translated document set is inconsistency. One component becomes a "clamp" in the manual, a "gripper" in the SOP and a third word in the spare-parts list. Now an operator, a buyer and a maintenance planner describe three things that are one thing, and traceability quietly breaks.

That is a process control, not a talent question. Before translation starts, supply a glossary of part, machine and station names plus internal abbreviations, and list terms that must stay in the source language — many plants keep part numbers, model designations and standard references untranslated. For internal use — training, maintenance, work instructions — a well-executed professional translation is enough. Certification matters when a third party must accept the document as faithful to the original: customs files, CO and CQ paperwork, tenders, regulatory submissions and contracts.   1. Send editable source files, not photos of printouts — source quality affects both cost and accuracy.
